Create Audiences and Send WhatsApp Broadcast from Zoho CRM

Import contacts from Zoho CRM and create audiences in WOZTELL

This article explains how to import contacts or leads from Zoho CRM to the WOZTELL platform, and how to automatically create an audience to use in your broadcast campaigns.

Prerequisites

  1. Have Zoho CRM version v16 or higher installed.
  2. Be logged in to the WOZTELL platform.

Step 1: Select the contacts or leads

From your Zoho CRM dashboard, select the records you want to import into WOZTELL. You can do this from the Contacts or Leads modules.

Zoho CRM only allows you to select up to 500 contacts/leads at a time.

Step 2: Start the import process

Once you have selected the records, click the "Send WhatsApp Broadcast" button located in the top bar.

This button is part of the native integration between WOZTELL and Zoho CRM. If it does not appear, make sure you have the correct version installed.

Step 3: Review the data

A pop-up window will open with a preview of the contacts. The information is divided into several tabs:
  1. Valid: Contacts ready to import.
  2. Duplicates: Repeated contacts.
  3. Blocked: Contacts with the WhatsApp Opt-Out field enabled.
  4. Empty: Contacts with no valid phone number.

Step 4: Configure the import data

In the same pop-up panel you must complete three key fields to continue with the import:
  1. Select the WhatsApp channel: In the first dropdown, choose the channel (WhatsApp number) from which the messages will be sent. This channel defines the number you will use to contact the imported members.
  2. Label name: Enter the name of the label that will be assigned to the imported contacts. This label will help you easily identify them within the WOZTELL platform.
  3. Check the “Create an audience” option: Check this box to generate an audience with the selected contacts. If you don’t check this option, the contacts will be imported as members, but no audience will be created.

Alert:
Duplicate, blocked, or contacts without a number will not be imported to WOZTELL.


Step 5: Review and track the import

After clicking Import, a new tab will automatically open in WOZTELL in the "Broadcast" > "Audiences" panel.

The import may take a few minutes to complete. To track the status, check the notification bell at the top right.



If an error occurs during the export of Contacts or Leads from Zoho CRM, you can open the notification bell to view more details.


Step 6: Audience created and ready to use

Once the process is completed, you will see the new audience available to configure your broadcast.




Done! Your new audience is ready for your next campaign.


Audience verification

To make sure the audience has been created correctly and is ready for use:
  1. From the left sidebar menu, go to the "Broadcast" subpanel and click on "Create Broadcast".
  2. Give the campaign a name (it can be a test name) and select the WhatsApp channel from which the message will be sent. This channel must match the one you selected in step 4. Click on "Next".
  3. Select the audience you just created.

Once your audience has been created, you can proceed to configure your mass broadcast campaign from the "Broadcast" panel.
