Zoho CRM and WOZTELL | Installation Guide: Step by Step  

This extension allows you to integrate WOZTELL with Zoho CRM, an online sales CRM software. It lets you store and manage leads and contacts from different messaging platforms like WhatsApp and Facebook.

Features  
With the WOZTELL extension for Zoho CRM, your team is able to:
  • Automatically create new contacts or leads.

  • Start a WhatsApp conversation directly in the CRM.

  • Check WhatsApp customer opt-outs.

  • Set welcome messages on each channel.

  • Send WhatsApp templates.

 

STEP 1: Register on WOZTELL  

On the WOZTELL website, click on «Start for free» at the top right corner.

 

Fill in the required information and click «Create account». On the next screen, complete the remaining fields.


 

Once you finish the process, you will receive an email to verify your account and complete the registration.

STEP 2: Create your WhatsApp channel

On the WOZTELL platform, go to «Channels» in the top menu and then click «New Channel»
 

Select WhatsAPP Cloud.


 

 


Then, select «Create channel». Choose a name and a description for internal use. This information will not be shown publicly.

 

Your channel is now created and ready to be configured.

 

 

In this step, select the type of WhatsApp channel you want to connect to WOZTELL.

How to connect WhatsApp Business with Co-Existence

 Click «Start Configuration» in the pop-up window and log in to Facebook.


Choose or create a business portfolio for your company.

 

At this step, you will be asked again if you want to connect an existing WhatsApp Business account or use a new number to connect WhatsApp Cloud API.

Make sure to select the option «Connect your existing WhatsApp Business app» and click «Next».


Add the phone number of your Business account.



You may need to insert a verification code sent by Facebook to your WhatsApp Business app. If this is not requested, you will move to the next step where you must confirm your WhatsApp account.



Finally, you can import contacts from up to the last six months by tapping the received message in the app and scanning the QR code.

  

You have now connected your WhatsApp Business account to Facebook Business Manager.

The final step is to connect it with WOZTELL. Select the number you just connected and choose the data you want to sync. Complete the process by clicking «Deploy Now».

 

All set! Your WhatsApp Business account is now ready to use in WOZTELL

 

How to connect WhatsApp Cloud API

Choose this option:


Click Continue.

In the pop-up window, log in to Facebook. Choose or create a business portfolio for your company.

 

Now create a WhatsApp Business account to link to your number. You can also use an existing account from your Facebook Business portfolio.

Complete the business profile with the relevant information. Add your new phone number.

 

You can choose to receive the verification code via call or SMS.

You’ve connected your WhatsApp Cloud API channel with Facebook Business Manager.

 

Now all that’s left is to link it to WOZTELL.

Choose a server and a security PIN. Complete the process by clicking «Deploy Now».

All done! Your WhatsApp API channel is now active.

You can check your data on this page and edit your WhatsApp profile.

From the «Template Messages» tab you can create and edit your WhatsApp templates.

Test your WhatsApp Business channel using the app.

If you connected WhatsApp Business with Co-Existence, you can continue sending and receiving messages from the WhatsApp Business app while using WOZTELL to scale your operations with exclusive features.

To verify your channel works correctly, send a message from the WhatsApp Business app to yourself and check it in the WOZTELL inbox.

Test your WhatsApp Cloud channel using your personal WhatsApp.

If you connected WhatsApp Cloud API, you can run a test by sending a message from your personal WhatsApp to your new WhatsApp Cloud channel in WOZTELL.

 

STEP 3: Connect WOZTELL with ZOHO CRM  

In your Zoho CRM account, click on Marketplace.

 

Search for the WOZTELL extension and install it.



 

Next, access the WOZTELL platform and click on Marketplace.

 

Search for the Zoho CRM extension and select it.

 

 

Choose an alias and description for internal use and click «Install»

 


In the new tab, log in to your Zoho super admin account and choose the CRM organization you want to connect with WOZTELL.

 

Click «Accept» and your Zoho CRM will be connected to WOZTELL.

 

 

 

Now let’s link our WhatsApp channel to Zoho CRM.

 

Go to your Zoho CRM and click on Marketplace.


 

In Installed Extensions, find WOZTELL and access its settings.


  


In another tab, go to the WOZTELL platform and access «Channels». Click edit on the WhatsApp channel you want to connect.

 

In the «Advanced Access» tab, generate an access token and copy it.

 

 

 

Go back to the WOZTELL extension settings in Zoho CRM and paste the token in the corresponding field.

 

 

Then define the most common prefix (by selecting the country) and the digit length of the phone number.

 

In our example, we selected Spain's prefix and 9 digits as the default length. Click «SAVE» to save.

 

Then connect the channels you want to use in Zoho CRM. Click the gear icon to configure the settings.


 

  

First, define what to do when contacting an unidentified phone number.

Next, define which records you want to use. We recommend saving both messages and alerts.

 

Finally, define the message that will be sent the first time a user contacts you.

Leave it blank if you plan to use chatbots.

 

Your WhatsApp channel is now connected to Zoho CRM.

To send and receive messages from your CRM contacts and leads directly within this platform,  go to the WOZTELL extension settings from Zoho CRM.

Check that permissions are enabled.

 

 

Click on the three dots and go to the «Inbox» module of WOZTELL

Log in to your WOZTELL account.

Select the organization and confirm.

All set! You’ve integrated WhatsApp with Zoho CRM using WOZTELL. Now you can navigate to the Inbox module and start
sending messages. We recommend sending a test message to ensure everything is working properly.

 Pro tip: Choose your preferred inbox interface.  

You can choose to send and receive messages in the WOZTELL inbox.

Or through Zoho Cliq.


To select one or the other, navigate to Installed Extensions in Zoho CRM. Go to WOZTELL extension settings.

 

Click this button, select the WOZTELL platform, and press «SAVE» to save.
